Program Officer Green Energy
Hivos seeks qualified candidates for the position of Program Officer Green Energy.
The main responsibility for the Program Officer Green Energy position is aimed to provide support on program administrative and logistical aspects within the Green Energy team, including but not limited to the implementation of Hivos’ flagship renewable energy portfolio, the Sumba Iconic Island (SII) Program and Indonesia Domestic Biogas Program (IDBP/BIRU) Program; thus ensuring successful delivery of the program implementation and that learning processes based on program documents and the audit process are well-conducted.
Functional Context
The Program Officer Green Energy will be assisting the Program Development Manager and Program Manager within the Green Energy team to ensure the contract management and implementation of Hivos’ renewable energy programs in compliance with Hivos’ and donor’s standards.
The Program Officer Green Energy will coordinate and work closely with the Green Energy project delivery team and/or partner(s), also with other units within Hivos.
The position is Jakarta-based with frequent travel.
Roles and responsibilities
Program Management Support

- Managing partnerships with civil society organizations working on Green issues, including renewable energy and sustainable food/landscapes. This may include domestic travel to conduct partner liaison and project monitoring and evaluation.
- Assisting with studies or research for the development of new Green programs, including performing desk reviews.
- Organizing workshops, meetings, trainings, and the Assisting Program Development Manager and Program Manager Green Energy in assessing and processing new project proposals, and accepting or rejecting proposals according to the proper procedures.
- Contribute to necessary desk research on Green Energy program development fundraising activity.
Project Administration
- Support project team members and partners in implementing Hivos’ renewable energy portfolio, including but not limited to BIRU and SII programs.
- Ensure that the project implementation is in compliance with Hivos and donor’s standards.
- Organize meetings that are led by Hivos in relation with the program implementation.
- Provide administrative support and other supporting documents and to follow up the finalization with the project delivery team and partners.
- Provide support on the arrangement of program activities: events/trainings/meetings and ensure the completeness of the administrative procedures.
- Coordinate with project delivery team and partners in preparing necessary project activities.
- Draft and maintain contractual documents for third parties in soft copy and hard copy based in compliance with Hivos’ standards.
- Provide support on the development of the program’s knowledge products as necessary.
- Support the development of financial and narrative reports in accordance to Hivos’ and donor’s requirements and standards.
- Coordinate with M&EL Officer to prepare M&EL reports according to donor requirements.
- Monitoring the timeliness of report submissions from partners and/or project delivery team.
- Administer donor’s project management information system for reporting including all supporting documents.
Knowledge, experiences and competencies
- Minimum 3 years of professional experience on project management.
- Has a strong experience managing administrative tasks and develop financial and narrative report.
- Demonstrate professional verbal and written communication skill in English and Bahasa Indonesia.
- Has a strong interpersonal communication and negotiation skill with internal and external stakeholders.
- Previous working experience in an international environment/organization is an advantage.
- Previous experience with administration of international development project management.
- Ability to quickly master new information management system.
- Good understanding of the development issues, principles of sustainability and social innovation and/or other environment issues, particularly in renewable energy sector.
- A good team worker as well as independency.
- Quick, accurate, pay attention to detail.
- Having respect for a humanitarian or humanist principle and willing to work in a non-discriminating, neutral, impartial and gender equal environment.
