Yayasan Humanis dan Inovasi Sosial (hereinafter: Humanis), an affiliate organization of Hivos, is a Jakarta-based non-profit development organization that works across the Southeast Asia region. Functional Context
The three-year Flores Empowerment for Agricultural Sustainability and Transformation (FEAST)! program (“Program”) aims to achieve enhanced food security, long-term food sustainability, and overall physical health of the people in eight districts in Flores Island, East Nusa Tenggara Province of Indonesia. This will be achieved through providing women and men farmers with sustainable farming practices and climate-smart agricultural technologies, supporting these farmers with capacity building on essential nutrition, alternative local crops, food preparation and processing, and access to local food marker, so that they will be able to increase crop yields, improve food availability and stability, and improve overall nutrition of themselves and their family member.
The Program targets 28,040 direct beneficiaries, which consists of 8,000 farmers (with the minimum of 50% women farmers) benefit from sustainable agriculture practices/CSA, GALS/FALS, diversified and nutritious food options, and financial literacy, 40 Village Champions benefit from training of trainers (sustainable agriculture practices/CSA, GALS/FALS, diversified and nutritious food options, and financial literacy), and 20,000 family members benefit from first-hand knowledge on diversified and nutritious food options. Furthermore, 10,000 indirect beneficiaries of local community members and the public benefit from knowledge on diversified and nutritious food options.
The Project Assistant (PA) is a key role within the Program, combining procurement, organizations of activities including meetings, visits, and events, record keeping, daily coordination among Program team members and partners as well as other Program’s administration tasks. This Labuan Bajo-based position is critical for effective daily coordination between Program team members and partners during the Program implementation
Project Assistant is aimed to support PM in ensuring smooth administrative process and compliance to procurement and administrative regulations, standards, and requirements by donors and Humanis
Roles and responsibilities
A. For administrative support
- Provide administrative support to Program activities;
- Coordinate and make minutes of meetings;
- Document the highlights and agreements of key activities with donors, partners and stakeholders;
- Ensure completion of contract documents to be sent to partner organizations and make checklist and keep track of signed contracts.
- Arrange travel and accommodation for Humanis staff, donors, partners, and consultants in relation to official duties and Program activities
- Organize workshops, and events event under the guidance of PM and coordination with other Program team members.
B. For logistical support
- Contribute to procurement process for hotel suppliers, expendable supplies and services;
- Foresee needs, recommend solutions and conduct tendering procedures as appropriate;
- Prepare comparative tables and shortlists the recommended supplier in accordance with Humanis procurement guidelines;
- Prepare purchase orders (after getting necessary quotations and authorization) or draft contracts;
- Follows-up the activities and tasks undertaken by contractors as indicated in the signed service/procurement contracts or Purchase Orders; Knowledge and Requirements
Knowledge, experiences and competencies
- At least related experience of 2 (two) years minimum in conducting events, including the related procurement mechanism such as venues, related consultants, etc
- Fresh graduates with internship background on project support are welcome to apply
- Have experiences in dealing with administration such as bidding documents, contracts, invoices, etc
- Good communication skills and ability to create a team spirit in the office
- Ability to work independently and take initiatives, but also a team worker
- Knowledge of major software applications (Excel, Word)
- Have experience to develop activity report
- Active, dynamic, have a willingness and eagerness to learn new ideas
- Experience in working as a team
- Able to travel as required
- Excellent command of English.
